CRM maintenance
Look after the system. Support the people using it.
Ongoing CRM care with a clear scope for routine checks, support and controlled changes. We agree what is covered across the CRM, its hosting, integrations and data processes, including where responsibility sits with a software vendor.

Is this the right
next step?
Businesses relying on a CRM for daily enquiries, customer records or job workflows and needing a defined approach to maintenance and support.
What the work covers.
We agree the exact scope before work begins. These workstreams show what can be included and the practical outputs to expect in your proposal.
| Workstream | What we cover | What you receive |
|---|---|---|
| Baseline and ownership | Identify the CRM, hosting, accounts, integrations, licences, known issues and the parties responsible for each component. | A system inventory and responsibility map. |
| Updates and dependencies | Plan supported platform, extension or custom-code updates, including testing and a release approach appropriate to the system. | An update plan and documented change history. |
| Backup and recovery | Agree how records and configuration are protected, what can be restored and any vendor limits on backup or retention. | A documented recovery arrangement and scoped restore checks. |
| Connection monitoring | Check the agreed integrations, scheduled jobs and error queues so failed transfers can be investigated through a known process. | Defined checks and failure escalation responsibilities. |
| User support and access | Set the process for questions, access changes and faults, with suitable checks on who may approve changes. | Support channels, hours and access request procedures. |
| Ongoing review | Summarise maintenance, recurring problems, renewals and improvements that need separate development work. | Care reporting and a prioritised improvement backlog. |
How we deliver the work.
- 01
Map the everyday work
Understand the customer journey, records, roles, handovers and the tasks that create friction.
- 02
Configure, build and test
Agree the solution, validate workflows with realistic sample data and test permissions and failure cases.
- 03
Roll out and support
Prepare data, train the people using it and agree maintenance, ownership and future improvements.
Your proposal sets out the work specific to this product, the people involved, access and content dependencies, review points and any ongoing support.
How we judge progress.
The maintenance review can track completed checks, faults, failed integrations and agreed response measures. Availability targets and recovery objectives only apply where expressly agreed.
What shapes the quote.
System complexity, hosting, integrations, support hours and the current condition shape the plan. Major new features, vendor fees and out-of-scope recovery work are identified separately.
Before starting, we agree the deliverables, responsibilities, schedule, costs, third-party dependencies and any ongoing service. You know which work is included and which needs separate approval.
Questions about
crm maintenance.
Is unlimited development included?
No. Routine care, support allowances and small changes are defined in the agreement. New modules, substantial automation and major migrations need separate scope.
Who is responsible when a CRM vendor has an outage?
We agree responsibility boundaries and escalation. A support arrangement can help coordinate investigation, but it cannot guarantee the availability of a third-party platform.
Can you maintain a CRM built by someone else?
We review the documentation, access, code or configuration and dependencies first. Taking on responsibility depends on a clear understanding of what can be supported.
